You are reminded not to share your login credentials – your access codes and passwords – with anyone, not even your administrative employee.

According to their membership terms of use, the only time an administrative employee should access MLS® information is when they are doing so directly and specifically on behalf of the member for whom they are working.  The Sharing Identity tool of MLXchange and Fusion enables you to share searches, broker loading and access to files with your administrative employee.

If your administrative employee requires access to MLS® information on your behalf, set up a Shared Identity in MLXchange and Fusion.  Your administrative employee will require their own log in credentials, but once logged in, he or she will be able to share your identity and get the information they need for you.

Here’s how to set up a shared identity:
1.  Click on your name in MLXchange or Fusion
2.  Click “Create New Shared Identity”
3.  Key in part of your administrative employee’s first and last names and click “Find”
4.  Highlight your assistant’s name in results and click “OK”
5.  See the administrative employee’s name in the lower window pane and click “OK” (repeat for additional administrative employees, if required)

Then, have your administrative employee:
1.  Log in with their own log in credentials (access code and password)
2.  Click on their name
3.  Select your name from the top window pane
4.  Select “Show Sign-in as Option when I log in” and click “OK”

Whenever your administrative employee logs in to MLXchange or Fusion in the future, they can select your name from the (top) available list and click “OK” to search for listings, broker load or access your files.  You and your administrative employee may even log in to the MLS® system at the same time.

This is the right way to have your administrative employee access MLS® information on your behalf.  Even though your administrative employee is using your identity in MLXchange and Fusion, he or she is not using your login credentials.  Sharing your login credentials is not allowed under the MLS® Rules and Regulations and sharing will result in you entering the Scout remediation process and, if the sharing continues, possible suspension from the MLS® system.
